CMMS and customer portal

CMMS and customer portal for the maintenance of your installations

We maintain your security and fire protection installations with a CMMS we developed ourselves. You follow it from your customer portal: log requests and instantly check incidents, job reports, preventive maintenance, inventory and documentation.

  • Two-factor authentication

Customer portal

What you see in your customer portal

A maintenance portal for your organisation, with no need to call to find out how a request is going: everything we do at your installations is recorded and you can check it whenever you like.

  • Log requests with a simple form and follow their priority and status.
  • View the job reports for each visit and the documentation for your installations.
  • Role-based users for your organisation, with two-factor authentication.
  • Access under your organisation's domain and logo, if you prefer.

Customer portal

All your maintenance in one place

Each user sees only their installations and what we do at them, without waiting for us to send it.

  • Requests and incidents

Log your requests from the portal and follow their priority and status until they are resolved.

  • Jobs

The work order reports for each visit: what was done, who did it, how long it took and what materials were used.

  • Preventive maintenance

Inspections of your installations and their schedule, with the status of each one.

  • Inventory and systems

Your installations by building and every one of their components, with their technical specifications.

  • GIS map

Your sites and systems on the map, and where the technician worked on each job.

  • Documents

The documentation for each installation: reports, certificates and your own documents in one place.

Preventive maintenance

Preventive maintenance schedule generated from your contract

Inspections do not depend on someone remembering. When the contract is signed, we set which inspections each type of installation requires and how often, from fortnightly to every five years, and the CMMS generates the full schedule for the period. You see it in your customer portal with the status of each inspection.

  • Inspection templates by installation type, with an item-by-item checklist.
  • Standardised anomalies that become corrective requests directly from the inspection.
  • PDF inspection reports and certificates generated every night and sent by email.
  • For fire protection, automatic alerts for the end of extinguisher service life and pressure testing.

In the field

How our technicians work

Our technicians use our own mobile app connected to the CMMS: what they record at your installation is instantly visible to our coordination team, and to you, from your customer portal.

Our own mobile app

Each technician sees their schedule for the day, and opens, completes and closes the job report from their phone.

Actual times per technician

The job report records the start, breaks and finish of each technician involved.

Materials, photos and videos

Consumables, equipment installed or removed, and photos and videos of the job.

Signature on the phone

We collect the signature of the person in charge on site, with name, date and time.

PDF report to your inbox

On closing, the job report is generated as a PDF, archived with its SHA-256 hash and emailed to you with the photos.

Designed for basements and plant rooms

The app stores the checklist on the phone and lets the technician close the report even when there is no signal.

A stockroom in every van

Each technician carries their own controlled stock: materials used are deducted when the report is closed.

Clear reports with the help of AI

The technician writes in their own words and the AI suggests clear wording, which the technician reviews and accepts.

The CMMS's AI only makes suggestions: the technician accepts or discards each text and the original is kept. This is how we use artificial intelligence.

GIS map

Your installations and every job, on the map

Your sites and their systems appear on a map with their details, and each job report shows where and when the technician worked.

  • Technician's location when starting, pausing, collecting the signature and closing the report.
  • A simple check that the work was done at your installation.
  • No continuous tracking: the location is only recorded at the job report actions, with prior notice to the employee.

Requests and communication

From request to report in your inbox

Each request follows a cycle of statuses with its history, and closing the job report updates it without retyping anything.

  1. You log the request

From your customer portal, by phone or by email. It is recorded with its channel, date and time.

  2. We classify it

Normal or urgent priority. Urgent requests instantly alert the designated technical service staff.

  3. The technician acts

Scheduled in their app, they record the work, materials and photos, and collect the signature.

  4. Closure and report

When the job report is closed, the request status updates automatically and you receive the PDF by email.

Email

PDF reports when they are closed and, if we enable it for your installation, every change in the status of your requests.

Messaging for urgent requests

Urgent requests reach the technical service by email and Telegram with the request details.

SMS at weekends

At weekends, urgent requests also send an SMS to the mobile phones of the designated staff.

Real-world use

A CMMS we use every day

  • 3,200active installations managed
  • 86,000inventoried items
  • 12,200work order reports in 2025
  • 3 out of 4requests in 2025 were logged by clients themselves from their portal

Beyond maintenance, the CMMS shares a database with the stockroom, technician scheduling and invoicing, which we issue with Verifactu and, for public authorities, through FACe.

Security and compliance

Your maintenance data, in a certified system

We develop and maintain the CMMS and customer portal ourselves, without depending on a third-party vendor, with the same security controls as the rest of our software.

ATISoluciones is certified under the Spanish National Security Framework (ENS), MEDIUM category, for the systems supporting the development and maintenance of software applications, and to ISO/IEC 27001: the product is designed, coded and maintained within an audited management system.

Frequently asked questions

Common questions about the CMMS and customer portal

What is a CMMS and what is it used for in facilities maintenance?

A CMMS (computerised maintenance management system) is the software that organises maintenance: equipment inventory, fault requests, preventive inspections, work order reports and documentation. We use an in-house CMMS to maintain our clients' installations, and you access the part that concerns you from your customer portal.

What can I do from the customer portal?

Log requests and instantly check your incidents, job reports, preventive maintenance and its schedule, your systems inventory, the map of your installations and their documentation. Your organisation's administrator manages its own users.

How is access to the portal protected?

Each person signs in with their own username, with two-factor authentication available, and only sees the installations assigned to them. There are three client user roles (super administrator, administrator and operator), and the portal can carry your organisation's domain and logo.

Do I receive the job reports and maintenance certificates?

Yes. Each closed job report is emailed to you as a PDF with its photos. Inspection certificates for fire protection, security, CIGES and automation systems are generated every night when inspections are completed and sent by email. If we enable it for your installation, you also receive an email whenever the status of one of your requests changes.

Can you see where the technician is?

We do not track vehicles continuously. The app records the technician's location at each action on the job report (start, break, signature and closure), with prior notice to the employee, and that location is shown on the map next to the installation.

Can I use the customer portal if I already have another maintenance company?

The customer portal is part of our maintenance service: we offer it to clients whose installations we maintain. If you want to switch maintenance provider, we load the inventory of your installations and generate the preventive maintenance schedule from the contract. More information in security systems maintenance.

Would you like to see your maintenance in real time?

Tell us what installations you have and we will explain what your customer portal would look like.
